Most lighting designs underperform for a reason that has nothing to do with the lighting designer's skill. They underperform because the designer was brought in after the decisions that constrain lighting had already been made.

This is a practical guide to that first meeting: when to have it, what to bring, and the questions worth arriving with.

Timing beats everything on this list

The single highest-value thing an architect can do is engage lighting during design development — while ceilings, soffits, and details are still being drawn.

Bring us in then, and lighting can be built into the architecture: coves that exist because they were designed to hold light, a slot detail that grazes a stone wall, a reveal that hides a linear fitting. Bring us in after the ceiling is set and we are limited to attaching fixtures to a finished surface. The difference between integrated and applied lighting is mostly a scheduling decision.

What to bring

1. Drawings — plans, elevations, and sections

Plans alone are not enough, and this is the most common gap. Light moves vertically; a plan cannot show ceiling heights, soffit depths, changes in level, or how a double-height space actually behaves. Sections and elevations tell us what we can conceal, at what distance a beam will land, and whether a detail can hold a fixture at all.

A reflected ceiling plan is ideal if one exists — but if it doesn't yet, that's a good sign. It means we can help shape it.

2. The materials and finishes palette

This matters far more than most people expect. A material's reflectance changes the amount of light a space needs — a dark stone wall can absorb the majority of the light that reaches it, while a pale plaster surface returns most of it. Two identical rooms with different finishes need genuinely different schemes.

Texture matters too: a rough stone rewards grazing light that a polished marble would turn into a mirror of glare. Bring samples, or at least accurate specifications.

3. Furniture and joinery layout

Light is designed for where people sit, stand, eat, cook, and read — not for the geometric centre of a room. A downlight grid drawn without a furniture layout is how you end up with a light directly above the edge of a sofa and none where anyone is actually sitting. Even a provisional layout is far better than none.

4. How each space is used — and by whom, and when

This is the part that is rarely written down and matters most. A majlis used for large evening gatherings and a family sitting room used quietly at night need different schemes even if they're the same size. Tell us:

  • Who uses the space, and at what times of day.
  • Whether it has several modes (a dining room that hosts twenty and also seats four).
  • Whether anyone using it has particular visual needs — an elderly parent needs meaningfully more light.
  • Anything that must be highlighted: artwork, a feature wall, a specific view.

5. Reference images — including what you dislike

Words like "warm," "dramatic," and "cosy" mean different things to different people. Images collapse that ambiguity in seconds. And references of schemes you don't like are just as useful — often more so, because they define the boundary precisely.

6. A budget range, even a rough one

This is not a commercial question; it's a design one. A budget determines whether we specify integrated linear detailing or well-chosen surface fixtures, and how deep the control system goes. A designer working without a range will either over-specify and lose the project at tender, or under-specify and disappoint. An honest bracket produces a better scheme than no number at all.

7. Control expectations

Does the client want simple switching, dimming, or full scene-based control on DALI or KNX? This decision affects cabling, driver selection, and the electrical contractor's scope — and it is expensive to change once first fix is underway. Even "we don't know yet" is useful, because we can design the infrastructure to keep the option open.

8. The programme and the rest of the team

When does first fix begin? When are finishes ordered? Who is the interior designer, the MEP consultant, the electrical contractor? Lighting sits across all of them, and knowing the critical dates tells us what must be resolved now versus what can develop.

Questions worth arriving with

  • Which spaces here deserve the most of the lighting budget?
  • What can be integrated into the architecture, and what will have to be surface-mounted?
  • What ceiling depth do you need me to hold for concealed lighting?
  • Where are we likely to have glare problems?
  • What's the maintenance reality — can these fixtures be reached and re-lamped?
  • How will this look at 4pm, and how will it look at midnight?

What not to bring

A fixture list. It's tempting to arrive with products already chosen — often from a supplier — but specification is the output of a lighting design, not the input. Starting from a product catalogue means designing backwards from what someone happens to sell. Bring the intent; let the fixtures follow.

  • Materials and finishes palette (samples if possible)
  • Furniture and joinery layout, even provisional
  • Notes on how each space is used, by whom, and when
  • Reference images — liked and disliked
  • A budget range
  • Control expectations
  • Programme dates and the wider project team
